HRMS with Face-Recognition Attendance

Employees walk through the gate and their attendance takes care of itself. A face-recognition attendance platform with the full HR back office around it: shifts, leave, overtime, contractor labour and payroll-ready reports, across every plant at once.

The challenge

Every traditional way of taking attendance fails somewhere. Paper registers are easy to fake and slow to total. Cards get shared, lost and cloned. Fingerprint readers stall on the worn or dirty hands that factory work produces, and they create a queue at exactly the moment a shift is trying to start. And when a company runs more than one plant, each site ends up keeping its own records, so head office never sees a single reliable picture and every month begins with a reconciliation exercise.

What we built

Sucetas built a face-recognition attendance and HR management platform designed from the start for companies running several plants. Cameras at each gate recognise employees as they walk through, with nothing to touch, carry or hand to a colleague. Every plant reports into one central system that head office sees live, while each site keeps its own staff, shifts and rules. Around the attendance sits the rest of the HR back office: employee records, shifts and grace periods, leave with approvals, overtime, contractor labour, analytics and payroll-ready exports.

The queue at the gate was the smallest of the problems

Shift changes at a busy plant put hundreds of people at the gate in the same few minutes. A reader that needs each of them to stop, touch and wait turns that into a queue, and the queue eats into the shift itself.

Underneath the queue sat the harder problems. Attendance that could be lent to a colleague. Records that lived on separate machines at separate sites. Contract labour tracked, if at all, in a spreadsheet nobody trusted. And a payroll process that started each month by reconciling all of it by hand.

The face is the credential

Employees simply walk in. A camera at the gate recognises them, the system works out on its own whether this is an arrival or a departure, and the guard's screen shows the name and photo with a clear banner as it happens.

There is nothing to hand over, so attendance cannot be lent to a colleague. There is nothing to touch, so worn or dirty hands are not a problem and the hygiene objection disappears. Faces are enrolled from several angles, including with and without a hard hat, so recognition holds up in real working conditions.

Built for several plants from day one

Most affordable attendance systems assume a single location. This one assumes the opposite. Every plant reports into one central system, so head office sees the whole company live, while each plant's people, shifts, holidays and rules stay properly separated.

It also understands what a real working day looks like on a manufacturing site. Someone who works part of a day at one plant and the rest at another has their hours combined correctly, with travel time excluded. Night shifts that cross midnight stay on the right shift rather than splitting across two dates.

  • One central record, with each plant's data kept to its own site
  • Attendance rules set company-wide, per plant, or per employee category
  • Working days that span two plants combined into one correct total
  • Shifts that cross midnight handled as a single shift
  • Adding another plant does not mean adding another system

It keeps working when the network does not

A cloud-only attendance system stops being an attendance system the moment the connection drops. Here each gate keeps recording locally and replays everything automatically once the link returns.

An internet outage, a switch reboot or a power event at the far end of the site does not cost anyone their punch, and nobody has to reconstruct a morning from memory.

A full HR back office, not just a clock

Attendance is where it starts. The platform also carries employee records, configurable shifts with grace periods and half-day thresholds, leave types with an approval workflow and automatic balance handling, overtime accrual with a daily cap, and holidays and weekly offs set per company or per plant.

Contractor labour, which is a persistent gap in most systems, is a first-class part of this one. Contractor companies are tracked in their own right, and each contractor gets a restricted login to enrol their own workers for HR approval, without ever seeing anyone else's data.

Phone for HR, web for the office, a locked screen for the gate

Each role gets the tool that fits it. HR works from a mobile app, adding employees, enrolling faces, reviewing approvals and correcting a record on the move. The office works from a full web dashboard with reports, analytics, rules and settings.

The gate runs a locked full-screen display the guard cannot accidentally close, showing the live feed, each punch as it happens, and a headcount of who is currently inside. A banned individual triggers an immediate full-screen alert instead of an attendance record, which turns the gate into a security checkpoint as well as a clock.

Inside the system

A long queue of employees waiting to use a touch-based biometric attendance reader at an office entrance
What it replaces. A reader that needs each person to stop and touch turns the start of a shift into a bottleneck.
Attendance system screen confirming an employee is still present and their full shift has been counted
The system works out arrival and departure on its own, and holds the shift open correctly for someone who is still on site.
HRMS attendance history dashboard showing present, absent and pending counts for each department
The day at a glance, department by department, with present, absent and pending counts filtered by plant, category or status.
HRMS attendance register listing employees with in time, out time, duration, photo evidence and status
The register carries in and out times, duration, status and photo evidence for each punch. Employee details are obscured here.
HRMS settings screen for configuring plants and the departments underneath each plant
Plants and their departments are configured centrally, which is what lets one system cover several sites without splitting the record.
HRMS mobile app showing a filtered attendance list for the last seven days
HR works from the phone: filter by day or month, check status, correct a record. Names are obscured here.

What it does

Attendance and recognition

  • Hands-free recognition at the gate, with no queue and nothing to touch
  • Automatic detection of whether a person is arriving or leaving
  • Live gate screen with the camera feed, each punch and an inside-now headcount
  • Working days that span more than one plant, combined correctly
  • Night shifts that cross midnight handled properly
  • Manual entry and correction when a camera misses someone
  • Full-screen security alert for a blacklisted individual

People and enrolment

  • Complete employee records, including department, designation, shift, plant and category
  • Guided multi-angle face enrolment, with and without a hard hat
  • Several enrolment routes: guided session, single photo, gallery upload, self-registration
  • Self-service registration with an HR approval queue
  • Deactivate a leaver while keeping their history intact

Shifts, leave and overtime

  • Configurable shifts with grace periods and half-day thresholds
  • Layered attendance rules, company-wide, per plant or per category
  • Automatic status: present, late, half-day, absent or on leave
  • Overtime accrued past a threshold, with a daily cap
  • Leave types with an apply, approve and reject workflow
  • Leave credited back automatically when someone turns up anyway
  • Holidays and weekly offs set per company or per plant

Contractors, reporting and access

  • Contractor companies tracked as first-class records
  • Restricted contractor logins limited to their own workers
  • Daily register, monthly muster roll and custom date-range reports
  • Payroll report with work days, hours and overtime already calculated
  • Exports to spreadsheet and PDF
  • Attendance trends, department breakdowns and shift distribution
  • Role-based access for admin, management, plant head, HR and security

What changed

  • Shift-change queues at the gate removed
  • Attendance that cannot be lent to a colleague
  • Recognition in under half a second, with nothing to touch or carry
  • One live view of every plant for head office
  • No attendance lost when the network drops
  • Contract labour tracked properly, per contractor
  • Payroll receiving hours and overtime already calculated
The queue at the gate is gone, and so is the argument about who was in and when. HR spends its month on people instead of on reconciling registers.

Common questions

What happens if the internet goes down?

Each gate keeps recording locally and uploads everything automatically once the connection returns. No attendance is lost.

Can somebody punch in for a friend?

No. The face is the credential, so there is nothing to hand over the way a card or a PIN can be handed over.

What if an employee grows a beard, starts wearing glasses, or wears a hard hat?

Faces are enrolled from several angles, with and without a hard hat, and HR can re-enrol anyone whose appearance changes significantly.

How many people and plants can it handle?

It is designed for more than ten thousand employees and an unlimited number of plants, with recognition taking under half a second per person.

Is contractor labour supported?

Yes. Contractor companies are tracked separately, and each contractor can enrol their own workers for HR approval without seeing anyone else's data.

Can it replace our payroll process?

It produces payroll-ready reports with work days, hours and overtime already calculated, exported as a spreadsheet or a PDF, which feed straight into payroll.

What happens to a terminated employee's record?

You can deactivate them, which keeps the history but stops recognition, delete them permanently, or blacklist them, which flags a red security alert at the gate instead of recording attendance.
